Privacy Policy
Your Data, Rider to Rider
Plain English, no fine-print tricks — this is how we handle the personal information you trust us with.
Last updated: 16 July 2026
To book your ride and reserve your Bhutan flights, we need a few personal details — including digital copies of your passport. This page explains exactly what we collect, why we collect it, and what we will never do with it. The short version: your information is used to arrange your trip to Bhutan, and nothing else.
What We Collect
We only ask for what the ride actually needs. Depending on where you are in the journey, that means:
- Enquiry form. Your name, email address, country, the ride you’re interested in and your message — sent to us when you use the enquiry form on this site.
- WhatsApp & email. When you message us on WhatsApp (+975 77 222 444) or write to info@bhutanrides.com, we receive your phone number or email address along with the conversation itself.
- Booking details. Digital passport copies with your details — required to reserve your Bhutan flights and to process your visa and permits.
- Rider details. Once you confirm a trip: your riding experience, height for bike sizing, a copy of your motorcycle licence and International Driving Permit for moto tours, dietary needs, any medical information relevant on the trail, and an emergency contact.
How We Use It
Everything we collect serves one purpose — getting you riding in Bhutan, safely and smoothly. In practice that means:
- Answering you. Replying to your enquiry and putting together a draft itinerary and an honest price.
- Arranging the trip. Reserving flights, processing your visa and permits, booking hotels, organising the support vehicle and setting up your bike.
- Trip communication. Departure logistics, packing advice, weather and road updates before and during your ride.
- Safety. Your emergency contact and medical notes go to your lead guide only, and are used only if something goes wrong out there.
We don’t add you to mailing lists and we don’t send newsletters unless you specifically ask for updates.
Our crew shoots photos and video on every trip. If we’d like to feature you in our gallery or on our social channels, we ask you first — and a “no” is always fine.
Third-Party Services
A few parts of this site rely on services run by other companies. Each has its own privacy policy:
- Google Fonts. Our typefaces are served from Google’s servers, so your browser’s font request (including your IP address) goes to Google. See the Google Privacy Policy.
- Google Maps. The location map embedded on our contact page — covered by the same Google Privacy Policy.
- YouTube. Our films are hosted on YouTube and embedded in privacy-enhanced mode; YouTube is a Google service.
- WhatsApp (Meta). Chats with us on WhatsApp are end-to-end encrypted and governed by the WhatsApp Privacy Policy.
- External links. Tripadvisor, Instagram, Facebook, YouTube and our blog live on other sites. Once you leave bhutanrides.com, their policies apply — not ours.
How Long We Keep It
We keep your information only as long as it’s doing a job:
- Enquiries that don’t become bookings are deleted after 24 months of no contact.
- Passport copies are deleted once your visa and flights are issued and your trip is complete.
- Booking and payment records are kept for 7 years, as accounting and legal rules require. (Payments and cancellations themselves are covered in our Terms & Conditions.)
Your Rights
Your details are yours. At any time, you can:
- Ask for a copy of everything we hold about you.
- Correct anything that’s wrong or out of date.
- Delete your data — we’ll erase everything except what the law requires us to keep.
- Withdraw consent for photos, updates or anything else you previously agreed to.
Just email info@bhutanrides.com. We’ll respond within 30 days — usually much faster.
